Important Note:
The Southwest Ohio Council of Governments (SWOCOG) does not typically employ substitute Educational Aides (paraprofessionals). However, Warren County ESC utilizes them exclusively in some special needs programs.
Follow the steps below to complete your onboarding process:
Step 1: Obtain an Educational Aide Permit
- Apply for an Educational Aide Permit through the Ohio Department of Education & Workforce Development (ODEW).
- Resources for applying:
- When asked for a Superintendent’s signature, enter the following IRN number:
- Warren County ESC – IRN #050401
Step 2: Complete Background Checks (BCI/FBI)
- If your BCI/FBI background check was completed within 365 days of being hired, we will accept those copies.
- If your background check is older than 365 days, or you have not completed one, you must obtain a new background check.
- Background checks can be completed at:
- Warren County ESC BCI/FBI Background Checks (Use code 3319 291)
Step 3: Notify Us & Begin the Online New Hire Packet
- After completing Steps 1 & 2, email Donna Hamilton to inform her that you are ready to complete the Substitute New Hire Packet (Online Employment Application).
- You will then receive an email from NoReplyCogSubs with instructions to complete the online forms.
- Once finished, email Donna Hamilton to confirm completion.
Step 4: Complete the Required New Hire Training
- Public School Works will send you an email with a link to access your New Hire Training Course.
- You will have ongoing access to this course via your Public School Works account.
Step 5: Set Up Your Absence Management Account
- Attend the online substitute orientation via Public School Works.
- After completing the orientation, set up your Absence Management account in Frontline.
- If you need assistance, refer to the New Hire Training Course in your Public School Works account.
