Non-Bachelor Degree Substitute Onboarding Process

Welcome, and thank you for your interest in becoming a Non-Bachelor Substitute Teacher

Follow the steps below to complete the onboarding process.

Step 1: Obtain a District Recommendation

  • Contact the school district where you would like to substitute for the current school year.
  • Request a recommendation to substitute as a Non-Bachelor Substitute in their district.
  • Provide the district with your name, phone number, and email address.
  • Once the district sends a recommendation email to Anna Hennig or Donna Hamilton, you will be contacted to begin the onboarding process.

Step 2: Apply for a 1-Year Temporary Substitute License

  • Apply for a 1-Year Temporary Substitute License through the Ohio Department of Education (ODE).
  • Resources for applying:
  • When asked for a Superintendent’s signature, enter one of the following IRN numbers:
    • Butler County ESC IRN #046086
    • Warren County ESCIRN #050401
  • Do NOT select the district where you will be substituting.
  • License Fee: $25

Step 3: Complete Background Checks (BCI/FBI) 

  • If your BCI/FBI background check was completed within 365 days of being hired, we will accept those copies.
  • If your background check is older than 365 days, or you have not completed one, you must obtain a new background check.

Step 4: Submit Your License and Background Check

  • Once ODE has issued your 1-Year Temporary Substitute License and you have completed your BCI/FBI background check, email Anna or Donna to begin the online employment application.
  • Prepare one of the following documents to upload under the “Certification” section of the online employment application:
    • A copy of your high school diploma; or
    • A copy of your GED certificate; or
    • A copy of your college transcripts with completed coursework

Step 5: Complete the Online New Hire Packet

You will receive an email from NoReplyCogSubs with instructions to complete the Substitute New Hire Packet.

  • Notify us via email once you have completed the online forms.

Step 6: Set Up Absence Management

  • Attend the online substitute orientation via Public School Works.
  • After completing the orientation, set up your Absence Management account in Frontline.
  • If you need assistance, refer to the New Hire Training Course in your Public School Works account.
