Non-Bachelor Degree Substitute Onboarding Process

Thank you for being interested in becoming a Substitute Teacher.

Please follow the steps below to complete the onboarding process.

Step 1.  Obtain a District Recommendation 📞
-Contact the school district which is usually the District HR Director, where you wish to substitute during the current school year.
-Request a recommendation to substitute as a Non-Bachelor Substitute in their district.
-Provide the district with your full name, phone number, and email address.
-Once the district submits your recommendation to one of the HR Specialist Anna Hennig (BCESC), Angela Siemer (BCESC) or Donna Hamilton, the HR Specialist will contact you via email with the next steps in the onboarding process.

Step 2:  Obtain a 1-Year Temporary Substitute License 🖊️
-Apply for a 1-Year Temporary Substitute license through the Ohio Department of Education & Workforce Development (ODEW).

Superintendent Signature Requirement: 🖊️
When prompted, use the appropriate IRN number:
     -Butler County ESCIRN #046086
     -Warren County ESCIRN #050401
     -Do not select the individual school district where you intend to substitute.
     –License Fee: $25

Step 3: Complete Background Checks (BCI/FBI) 🔎
-If your BCI/FBI background check was completed within the past 365 days, and used the appropriate code (3319 291), we will accept the copies.
-If your background check is older than 365 days, or has not completed, a new background check will be required.

Step 4: License and Background Check Documentation and One Required Document 📧
Ensure you have both of the following:
✅ A valid ODEW Teaching or Substitute License
✅ A completed BCI/FBI background checks

Prepare one of the following documents, for upload in the “Certification” form of the application.
–Copy of your high school diploma; or
–Copy of your GED certificate; or
–Copy of your college transcripts showing completed coursework

Once obtained, email one of the following HR Specialist to begin the SCView Online Substitute New Hire Packet process:

Step 5: Complete the Online Substitute New Hire Packet 📋
-You will receive an email from NoReplyCogSubs with instructions to complete the Substitute New Hire Packet online.
-Once completed, confirm your submission by emailing your assigned HR Specialist.

Step 6: Complete the Substitute Teacher Orientation & Fraud Course in Public School Works 🖥️
-You will receive an email from Public School Works to set up your PSW account.
-You are required to complete the following two required online courses:
–Substitute Teacher Orientation (30 minute training video)
–Fraud Reporting & Training-Ohio Auditor of State
-Once both online courses are finished, notify your assigned HR Specialist to confirm completion.

Remaining PSW trainings must be completed within 30 days.
-PSW account s are reviewed each summer to ensure compliance with annual training requirements.
-Failure to complete all required annual trainings will result in temporary suspension of your Frontline account until all trainings are fulfilled.

Step 7: Set Up Absence Management 🖥️
You will receive an email from your assigned HR Specialist with instructions to create your Frontline Absence Management Account.
